THE ISIS DATABASE - IMPORTANT NOTICE TO ALL USERS

We wish to report that the ISIS Database was shut down for data migration between 08:00 and 20:00 BST on August 30, 2000. Following this shut down, the 4th Edition will launch 1 day ahead of schedule.

Ship inspections initiated before 30 August will be carried out and entered as 3rd Edition.

User’s logging on to ISIS (upload request/download reply) after 20:00 BST on 30 August, will receive the message that their: ‘’software is out of date’’. There will then follow clear instructions on how to download and apply the new upgrade (.exe) file. Having applied the upgrade, it will be necessary to exit the ISIS program and re-start. Users may then log-on to ISIS 2000 Release 1.2.0.0

3rd Edition reports and the templates to interpolate them will remain fully accessible in the new version. When working a 3rd Edition report, the screens and functions will be exactly as they are today. However, with the 4th Edition, there are several modifications to take note of:

INSPECTION REPORTS

  1. 4th Edition Inspection Reports can only become active when the VPQ for the ship has been entered and uploaded. It is only necessary to enter the VPQ once, it may then be updated at any time and will automatically carry over to successive Inspection Reports
  2. A computer generated, Section B1 (Summary of Observations and Remarks), has been introduced for 4th Edition reports:
    • B1 collates all questions having received "NO" answers by the Inspector, accompanied by their observations and the ship owner's comments regarding those observations
    • B1 also collates any section based remarks by the Inspector, accompanied by the section based ship owner's comment.
  3. The free text ‘’ship owner’s comments page’’ has now been removed. Ship owners must now enter their comments directly into B1.
  4. Note that B1 will not be printed as part of the standard Inspection Report printout, the print function is available through the ‘’Print Report’’ buttons.
  5. Functionality exists for the new B1 to be saved to file in Rich Text Format (RTF), readable by Microsoft Word and other products, thus allowing the B1 report to be sent by e-mail attachment.
  6. A new option for printing ‘’Information Only’’ type questions has been added.

VPQ

  1. The new CDI & OCIMF Harmonized VPQ is supported, replacing the 'Ship Reference Data' functionality. Any existing 'Ship Reference Data' at both the client side and the server will be deleted during the upgrade.
  2. 4th Edition Inspection Reports can only become active when the VPQ for the ship has been entered and uploaded. It is only necessary to enter the VPQ once, it may then be updated at any time and will automatically carry over to successive Inspection Reports.
  3. VPQ data can be entered & uploaded by the ship owner/operator and the Inspector carrying out the inspection of a ship.
  4. Some VPQ questions are mandatory and must be completed before a VPQ can be uploaded. The mandatory questions are marked by red characters.
  5. The ship owner can use a copy facility to copy VPQ data from one ship to a sister ship, hence avoiding to have to type similar data more than once.
  6. Ship owners are urged to update the VPQ if any part of its content becomes 'out of date'.
  7. An Export/Import facility has been built in, to allow exchange of VPQ data with SIRE. However, at the moment, OCIMF have yet to complete modifications to their software to support the feature.

  1. The Template Run Results now also include the Inspector's observation and Owner's comment

 

DOWNLOADING INSPECTION REPORT & VPQ

  1. A combined download facility has been introduced for downloading both the Inspection Report and VPQ at the same time, replacing the existing download functionality. This functionality is available from the Action menu at:
    • List of Reports in Progress
    • List of Active Reports (not for Inspectors)
    • List of All Ships Inspected (not for Inspectors)
    • List of All Ships
  1. The 'VPQ Date' is visible at all these screens, indicating the date that the contents of the VPQ was entered. This is a user entered date and could be different than the actual date of entry or modification.
  2. The user can choose and set default to either download the Inspection Report, or the VPQ, or both.

To conclude: the upgrade process is simple, full instructions will appear on your screen after 20:00 BST on August 30th. Please do not attempt to download the upgrade file until you have first read the instructions.
